Job Overview & Work Site

Check-Out Coordinator Job Duties:

  • Checking out patients
    • Confirm next appt(s), print and provide them schedule
    • Take patient payments in EMR for current date of service
    • Collect any previous balances in Inbox Health system
  • Collection tasks
    • Communication with Business Manager regarding patient balances and updates
    • Updating current patients’ checkout ticket to reflect their balance and contacting discharged patients to obtain payment on account (as needed).
    • Create, document appropriately, and discuss payment plans in Inbox Health system
  • Educate and assist patients with contacting MBC regarding billing questions
  • Completing school/work excuses for patients
  • Monitor tasks throughout the day for communication between PT, Office Manager, and Front Office staff
  • Calling patients to schedule followup visits after authorization has been received

All Front Office Staff Job Duties:

  • Answering phones, document calls, cancellations, no shows etc
  • Accepting and scheduling new referrals via phone
  • Monitoring and calling patient no shows within 10 min of appt time with appropriate documentation
  • Scan/fax documents per therapist request
  • Opening or Closing duties depending on work schedule
  • Monitor front office “tasks” and make follow up calls as advised by office manager

License & Experience

Requirements:

  • Organized, Punctual, Dependable
  • Able to effectively communicate with front office staff, therapists, and patients
  • Team-oriented (able and motivated to work with office staff, therapists etc)
  • Ability to multi-task with accuracy and efficiency

 

Schedule:

  • Our therapists treat patients from 7:30 am to 6:00 pm Monday-Thursday and 7:30 am to 5:00 pm on Fridays. A front office staff member must always be present to maintain the schedule, accept payments, and answer phone calls. We strive to ensure a fair work schedule for all front office staff members while maintaining adequate coverage.
  • This position is 5 days a week (40 hours).. Each full day has a 1 hour unpaid
